KIDS Privacy Policy

Kids Data Systems, LLC takes very seriously our obligation to protect the privacy of all data our customers provide to us while using our software. In particular, we consider Protected Health Information (PHI) as defined by the US Federal Health Insurance Portability and Accountability Act or HIPAA to be a special trust. PHI data submitted to us by our customers receives particular attention in its handling, preservation and the protection of its disclosure. This Privacy Policy is designed to inform you as to how we collect and under what circumstances we may disclose such information. We hope that this will help you, our current and prospective customers and the clients of our customers, to make informed decisions when visiting this website, on deciding whether or not to use our services, or in investigating suspected breaches of secured information.

How We Collect Information: Kids Data Systems, LLC and its software systems collect and maintain data that may include PHI information as a result of processing child welfare agency records for our customers. As an Application Service Provider (ASP), we and our affiliates process transactions and store results as records in our database.  In addition to personal information concerning demographics of the clients of our customers, this information can contain PHI data related to treatment plans, prescriptions and clinical notes. These data are stored in a database which issegregated by customer and which may be retrieved and used to generate reports by customers. Access to these records is strictly limited to the agency providing and maintaining the information using user I.D. and passwords.

Protection of Your Information: We hold in strictest confidence all information about client’s personal information, financial situation, medical conditions, and information about the care that is provided to us by our customers,contained in or attached to applications, or directly or indirectly given to us.

We do not give out, exchange, barter, rent, sell, lend, or disseminate any information about customers or their clients that is considered patient confidential, is restricted by law, or has been specifically restricted by a customer or client in a signed HIPAA consent form.

How We Use Your Information: Information stored in our databases is only used as is reasonably necessary to process transactions as requested by our customers in order to provide them with health or counseling services. Such customer-requested transactions may be necessary to enable communication between our customers and their health care providers, medical product or service providers, pharmacies, insurance companies, and other providers necessary to verify that the customers’ medical information is accurate, determine the type of medical supplies or any health care services the customersneed, or to obtain or purchase any type of medical supplies, devices, medications, or insurance that the customers may require.

Our development staff may access information in the database to identify programming errors, enhance the application or assist customers to extract and report on stored data.

If you or anyone, with or without authorization, attempt to access, alter or modify information stored in our protected database with the intent or purpose of fraud, or that results in either an actual crime of fraud, for any reason including willful or un-willful acts of negligence, whether intended or not, or in any way demonstrates or indicates attempted fraud, your non-medical information can be given to legal authorities including police, investigators, courts, and/or attorneys or other legal professionals, as well as any other information as permitted by law.

Information We Do Not Collect: We do not use cookies on our website to collect datafrom our site visitors. We do not collect information about site visitors except for use of hit counters on various pages that simply record the number of visitors to that page.
